Li-Fen Peng: We circulate back issues of our periodicals. They are not bound, so individual issues are circulated. We add a barcode and date slip to each issue as it is circulated and create a temporary record for that issue. Our automated circulation system (Dynix) prompts us to type in the title of the periodical and date of the issue and type of item. In this case, we type "PER" for periodical. Our system assigns a 3 day loan and the due date is displayed on the screen after we file the temporary record. When the periodical is returned, the temporary record disappears. If that particular issue is checked out at a future date, the barcode and due slip are already inside the cover, but we'll have to create a temporary record again in order to check it out. I've heard of a system at another library (I don't have details) where each periodical title is typed on a business card-sized rollodex card and a barcode is attached to the card. At that library, circulation staff wand in the barcode from the rollodex whenever an issue of that title is circulated. I can't understand how this works, because with our system, each item must have a unique barcode and you can't re-use one. If they are assigning one barcode to a title, each issue would be checked out under the same barcode. Since I don't know which automated system this library uses, I assume it works fine for them. For our purposes, we'd want to know which issues were checked out, and barcoding them individually gives us this information on our OPAC terminals. We barcode the titles as they arrive in the daily mail before sending them to Circulation. We place the barcode on the upper half of the front cover, making sure not to cover any vital volume/issue/date or title information, for ease of check-out. Then when it's time to bind we check each issue out to the bindery, so that the OPAC displays the information that it is "At the Bindery" and gives the date it's due back. Once we receive the bound volume, we discharge each of the issues and delete the associated item records (in Notis we do this; in Geac we marked each of the individual circ-side created records for deletion). We then create a new item record for the bound volume, placing the barcode in the same place we would for a monograph (inside the back cover). We don't bother trying to take the barcodes off of each individual issue (or try marking through them etc.) since they aren't linked to anything anyway. This procedure not only allows the individual issues to be checked out easily but it also tracks the status of each issue in the OPAC. We have about 1600 current subscriptions and we currently barcode individual issues of about 1000 of them (we don't barcode titles that are _never_ presented for check-out as an unbound issue) but we barcode ALL bound volumes. To accomplish this, I have a .5 FTE staff member who does nothing but barcode and process periodicals (this DOES NOT include collecting and preparing issues for binding, checking-in daily issues, etc. -- just the tasks associated with barcoding). When they are bound, the items for the individual issues are deleted, and one item record is created for the bound volume. The placement of barcodes in our library for the individual issues is, on top left hand corner of the outer cover. When bound, they get removed as the outer cover will be discarded when binding. For the bound volumes, the barcodes will be placed on the top left hand corner of the first page.
