We are in the process of defining what to do with fiche and diskette
suppls. Tentatively, we are housing the non-paper format in the
media department. We add a note to the bib record appropriate to the
situation ("Diskettes accompany each issue and are housed in the Protect
Collection of the Audio-Visual Department" ; "Vol.25:no.2 issued with
computer diskette which is housed in . . .").

We add a barcode and create an item record for each diskette. We also
tip an information sheet into the issue saying where the diskette is
located.

We have said that there may be instances when we need to analyze a
diskette, but haven't actually done this yet.

We are now getting the same titles as you are, Karen, and we've handled them
as follows: We add notes to the cataloging for each title describing the
supplementary material. This is done in OCLC, and the record imported into
our local system. Then in our local system (Geac) we add a separate holdings
line for the fiche/disk. Our serials collection is arranged alphabetically
by title, but these fiche/disks are classed and shelved in our media
collection (a restricted access collection)

Each issue of the paper journal has a label added to it which gives the call
number for the supplementary material. I guess we'll have to do the same
when the paper journal is bound, though we haven't done that yet. We're just
keeping the fiche/disks in binders with plastic pages that have places to
insert them.

Hope this helps
