In the acquisitions module of our ILS (ExLibris' Aleph), we have a note on
the order/arrival record: "Latest ed. in Reference" (or at Ref Desk, etc.)
When in the cataloging module, before creating the item record for the new
volume, a tab on the previous edition's item record allows the item
information (call no., barcode no., volume) to be printed, which we do on a
"form" (created in Word). The form has a header, right-aligned, "Please
return this volume", and boxes at the bottom that can be checked off. The
boxes indicate choices: "deref", "withdraw", "other _____". This is simply
put in the new volume and sent to the appropriate library.
On the new volume item record, a temporary location is added, and the call
no. label will include this temp. location.
On the returned/recalled item, the temp. location is removed, and a new
call number label affixed over the old.
It's simple and straightforward and works well for us.
