SERIALS ASSISTANT SUMMARY:
Using SydneyPlus, creates and maintains clear and up to date serial
record and routing lists; processes materials received expeditiously;
routes materials promptly to attorneys and to other offices; identifies
materials needing cataloging; identifies and claims materials not timely
received. In New York, also shelves books and files loose-leaf materials
and newsletters. Positions are located in the Washington and New York
Offices. In Washington, reports to the Technical Services Manager. In
New York, reports to the IRC Manager.

ESSENTIAL DUTIES & RESPONSIBILITIES
' Open and sort incoming mail.
' Check in and process serials in SydneyPlus as they are received,
checking for accuracy and missing items.
' Initiate claims and take other action for problem titles as needed and
record claim information in SydneyPlus.
' Identify and inform Cataloger of new materials needing cataloging.
' Identify and inform Cataloger of serials with changed titles.
' Route items received to appropriate parties, offices, or IRC locations
within the firm.
' Prepare other IRC materials for filing, shelving and circulation as
needed.
' Prepare materials for shipment to US and international offices
' Create and maintain serials receipt schedules in SydneyPlus.
' Create and maintain routing lists for serials received by attorneys
and print labels on request.
' Update routing lists as attorneys arrive, leave, or change their
practice areas.
' Monitor number of names on routing lists and suggest acquisition of
additional subscriptions where appropriate.
' Monitor manually and automatically updated inventory records in
SydneyPlus.
' Compile statistical record of the number of volumes received by the
Information Resource Center during the year.
' Work closely with cataloging and acquisitions staffs to insure overall
departmental quality.
' Look for ways to improve the continued accuracy and efficiency of
serials processes. and other duties as assigned.
Additional duties in the New York office
' File newsletters, pocket parts and loose-leaf services.
' Maintain collection including shelving and filing of materials.
' Review and process invoices for payment.
' Coordinate ordering office copies and missing releases with the
Washington office.
' Request cataloging records from the Washington office
' Assist in inter-library loans and returning materials to lending
libraries.
' Order Westlaw supplies and paper.
' Perform shelf reading and shifting of materials in stacks as
necessary.

REQUIRED SKILLS:
' Demonstrated Windows, word-processing, and email proficiency.
' Keyboarding skills (40 wpm)
' Proven aptitude for efficiency and accuracy with a high volume of
material.
' Ability to organize tasks and work independently.
' Good written and oral communication skills.
' Strongly preferred: library experience/bibliographic skills.
' Strongly preferred: experience with SydneyPlus or a similar automated
serials system.
' Strongly preferred: Internet experience.

EDUCATION, CERTIFICATIONS AND/OR EXPERIENCE:
Minimum: B A. or B.S. degree, or equivalent experience, preferred.
LANGUAGE SKILLS:
 Strongly preferred: reading knowledge of a modern foreign language.
OFFICE HOURS (include lunch hours):
9:00 AM-5:30 PM, Monday-Friday. Must be flexible for overtime.
