Re: III users - do you add item records for your periodicals? Mina Muessigmann 05 Apr 2005 17:56 UTC

We are (slowly) adding item records retrospectively for our bound
periodicals. We started a couple of years ago to add items for all newly
bound volumes as they returned from the bindery. That part is pretty easy.

Our main intent is for statistics, since bound periodicals circulate only
to a limited subset of patrons (faculty and grad students). We hope to use
reshelving/usage statistics to help us with future decisions on weeding
and/or remote storage. Of course, until we have the entire collection
barcoded and itemized, we can't start any type of comparison.

The barcoding project also provides us with a useful inventory and double
check of our holdings information.

Periodical item records are suppressed from public view in the OPAC until
the entire run of a periodical title is itemized. Then we display them to
the public (one title at a time).

I expect this project will take years, as we are not able to dedicate much
staff time to it (big challenge). A few titles may exceed the allowed
number of attached records, but I think that limit may have changed.
Another challenge is to get everyone to see the benefit of such a project.
It isn't as exciting as some. As far as workflow, it would be much easier
if we had equipment available to do the entire process in situ--in the
stacks. As it is, we use duplicate barcodes--applying one to the bound
volume, the other to a sheet of paper on which we write the volume, number,
date, etc. Then we enter the items using the paper info. I'd be happy to
answer any other questions.
