Job Title: Assistant to-Higher Education Officer/Serials Assistant
Accountability: Reports to the Acquisitions Librarian and the Associate
Librarian for Technical Services and Collection Development.
Job Summary: Maintains library serials subscriptions in all formats
(electronic, print, microfilm, microfiche, etc.). Creates and maintains
serials orders on Aleph500 database. Sets up publication patterns in Aleph
for materials. Oversees check-in of issues. Claims missing issues when
necessary. Updates and tracks payments for periodicals, serials and database
invoices. Pays invoices in Aleph and processes payments. Manages periodicals
stacks and supervises student assistants. Supervises one part-time worker.
Serves as back-up for Monograph Acquisitions Assistant.
Duties and Responsibilities/Serials:
* Searches EBSCOnet, WorldCat and other online databases for
bibliographic ordering information.
* Under the supervision of the Acquisitions Librarian,
1. initiates orders for all periodicals, serials, continuations and
monographic series; receives issues in Aleph, property stamps, tattle-tapes
and barcodes these materials.
2. may catalog periodicals, serials, continuations, and monographic
series.
* Maintains and updates volume holdings records in the library's online
catalog and in WorldCat for materials received.
* Reviews vendor invoices for accuracy. Promptly processes invoices for
payment and maintains financial files for all formats, with special
attention to databases. Tracks statistics using Excel spreadsheet software
and database payments.
* Maintains online records for claimed items.
* Maintains Universal Resource Locator links in bibliographic records in
Aleph for online versions of print journals.
* Supervises preparation and receipt of binding shipments for serials
and monographs, which entails maintenance of backorder files and fulfillment
of incomplete volumes.
* Oversees stack maintenance of journals and serials and trains and
supervises part-time student workers.
* Analyzes and suggests better ways of processing materials and tracking
payment information; keeps current on all technological changes in the
databases used and in software updates.
* As back-up for Monograph Acquisitions Assistant:
1. Places orders for monographic acquisitions in all formats using
WorldCat and Aleph500 databases and vendor web sites.
2. Claims materials not yet received from vendors. Pays invoices in
Aleph and processes payments. Assists in the handling and processing of
gifts received.
3. Assists in the cataloging of DLC copy and special bar coding and
retrospective conversion/re-cataloging projects.
* Other duties as assigned.
Salary Range: $28,943-41,451
Qualifications: Bachelor's degree required. Minimum of two years' experience
in library technical services. Proficiency in the use of OCLC and library
systems software. Skills in desktop applications required, including the
management of statistical software, database searching, word-processing and
electronic mail. Excellent organizational skills. Accuracy and attention to
detail. Excellent written and spoken English. Ability to communicate clearly
on the telephone. Demonstrated interest in and ability to suggest service
improvements. Analytical and critical thinking skills a must.
