POSITION ANNOUNCEMENT
Subscriptions Clerk, Serials Department, Fordham University Library
Under the supervision of the Head of the Serials Department, the position
is responsible for the acquisition of the Library's collection of current
periodicals (over 4100 subscriptions) for 3 library branches.
Duties and qualifications
Working closely with our subscription services agency EBSCO and directly
with publishers, this position insures the continuity of the Library's
periodical subscriptions. The duties include: ordering new subscriptions;
processing cancellations; insuring that renewals are received and processed
with necessary corrections; approving invoices for payment and resolving
invoicing problems; insuring that refunds (when due) are received and
credit memos processed; maintaining payment cards; tracing and correcting
faults and errors inherent in acquisition of periodical material; solving a
variety of problems arising from erroneous, partial or duplicate shipments,
non-receipts, subscription lapses, and similar situations; handling
communication (written, telephone, electronic) with vendors, publishers,
back issue dealers and co-workers involved in management of periodical
material; performing tasks associated with procurement of missing issues to
complete volumes for bindery or filling volume gaps (i.g. evaluating the
need for action, performing vendor selection for back issues, placing
purchase orders, following up outstanding orders, making decisions to
re-order, approving invoices for payment, insuring that materials are
acquired in a timely manner); supervising the work of the bindery clerk
related to incomplete volume problems; identifying bibliographic and other
kinds of changes and forwarding information to the serials librarian; in
charge of updating prices in the Serials Information Database for annual
budget reports; in charge of the work with duplicates; training student
workers; handling everyday mail and making decisions on appropriate
actions. Uses serials module of the DRA integrated library system
(migrating to Sirsi next year), local Serials Information Database (SID),
Ebsconet (Ebsco's database), Internet based databases of publishers and
back issue dealers.
Duties assigned to this position require special aptitude for working with
periodical publications. A successful candidate must have the ability to
perform complex tasks, maintain a high level of attention, be very
organized, detail-oriented, alert, responsible. Must have the ability to
set priorities and jugle many complex tasks. Critical judgement is
necessary for the identification of problems and for taking actions, as
well as extreme perseverence in bringing outstanding items to satisfactory
resolution.
Required: library experience (preferably with periodicals) or other
similar work experience at responsible level; demonstrated ability and
preference for working with problem-related tasks; ability to learn
computer programs related to the job; excellent communication skills.
