Subject: OPAC holdings for dead serial runs

I would like to find out what other institutions are doing (particularly
large research libraries) about displaying holdings information for dead
serials in their OPACs.

Specifically, I'm interested in two different breeds of dead serials: (1)
Dead serials your library historically subscribed to or received, and for
which you used to keep a Kardex or manual check-in file. ("historically
dead serials")

(2) Dead serials received today as part of a collection or gift. ("gift
dead serials")

For both, what I would like to know is how much detail about holdings you
keep in the online record (OPAC), and if you keep this detailed
information anywhere else.

Specific questions:

1. When you converted your historically dead serials for the OPAC, did you
convert item-level information from the Kardex?

2. If you did not, did you throw away your Kardex, and now the item-level
information is inaccessible, or did you keep your Kardex for this
information?

3. If you threw out your Kardex, how has not having item-level information
impacted your institution and patrons?

4. Do you house dead serial runs in remote storage facilities, and if so,
do you have an item-level inventory of serial holdings shelved there?

5. When you receive a gift of a dead serial, do you keep track of the
individual items?

6. If so, is it through a manual system, through barcoded items, through
online check-in, or--?

7. Do you create MARC Holdings for your dead serials, and if so, at what
Level (Summary, Level 3, or Level 4)? Is this Level different than for
your current, active serial holdings?

8. If you don't keep track of item-level holdings for gift dead serials,
how has this impacted your institution and patrons?

9. Any additional advice, thoughts, comments?
