This is a great question - I have been curious about smaller libraries' serial check in procedures too! 

I work in a small/medium museum library and we currently receive a little over 100 titles. I am in charge of serials processing and update a spreadsheet within our institution's intranet to show which issues have been received or claimed. We also update receiving note cards to have physical documentation just in case a spreadsheet gets deleted or the system crashes. Most titles we receive on-time regularly, but we do have a few problem titles that seem to require investigation and action so having documentation is super helpful. 

We have about 20 current titles that we check in through our system (Voyager) so that specific issues are reflected in our holdings. For the most part, these titles are either ones that were added in 2019/20, serial titles shelved in our main stacks, or a few specialized titles that are coming in through non-EBSCO standing orders. Otherwise, we have generic holdings for our current titles (ex: Library owns 1997- ). I just started a couple of years ago, so I've noticed that a few current serial records say "holdings incomplete" if issues are missing but I am not sure that rule was consistently applied. We are about to start updating these generic holdings to be more descriptive (ex: Library owns v.37, no.1(1997 Spring)- ), but are still hammering a few formatting details. Not yet sure if we will add notes with missing issues information.

I keep track of issues received in an Excel spreadsheet.  When the volumes are bound, I keep track of that too, both in the spreadsheet and in the catalog record.  I still claim missing issues.

 

However, just last week I canceled approximately half of our print journals.  The director determined which print journals we receive are available in databases to which we currently subscribe.

For smaller institutions, how do you make sure that you are receiving all your print issues?

 

We only have about 60 print subscriptions.  When new issues arrive, my students stamp and write the volume and issue on the cover, then shelve them.  Our catalog holdings for current subscriptions always say, for example, "Vol. 4 No. 5 (1998) - Present."  We just have a generic "To Present" for all current subscriptions.  We don't update the holdings for each issue, but I'm wondering if we should.

 

Do you keep check of which issues you receive?  Do you check them into a system?  Do you write them down in a word document?  Or do you trust that they arrive?

 

It seems like we get all our issues, with maybe a few missing on rare occasions.  Every year, we reduce our print collection so I'm not sure how important it is to dedicate time to this.
