Good morning,

Our library has done a number of very large weeding projects over the last several years.  In addition to the obvious "document your decisions and have the data to support them" advice, I would suggest a quick talk with both your campus accounting folks and your campus waste handling people.

The accounting people may only need the number of volumes withdrawn (e.g. we report volumes added, volumes withdrawn, and expenditures for our annual GAAP audit--the accountants do the rest) or may be able to advise you regarding valuation.

Whoever handles recycling and trash hauling may be able to coordinate your disposal needs--IMO, the best way is to have your volumes ready to go and bring in a dumpster so you can fill it rapidly and have the volumes processed off-site, preferably for recycling rather than landfill; this is the least likely to result in a bad PR situation.

Hope this helps,

Good Morning –

My library is going to be starting a rather large project focused on weeding bound periodical collections in an offsite storage facility.

Our University is ending the lease with the facility and we simply do not have the room to bring them back to the library.

This makes me nervous, J

-          First is the reduction in University Assets

o   How does one value the collection(s) to be weeded against the value of the entire collection?

§  I feel I need to let University Accounting partners know the dollar figure for reporting purposes.

-          When pulling the materials is it necessary to chop them into bits before trashing? Melodramatic, I know.

Have any of you done a project like this before?

Sincerely,

Apprehensive Library Director
