I wonder if you can give me some advice please.

 

Our auditors have identified a vulnerable area in our processes.  We are not adequately tracking the movement of new books and serials from the technical services area to the 2 branches.  We are on Voyager and could use the Routing perhaps, but are there other ways to do this?

 

The secure tech services area is outside of the library itself but in the same building, 2 floors up.  This requires using a public lift.  So during this time the brand new materials are vulnerable to theft.  The second area is after the lending staff have sorted the items for the branches and they put them in boxes for the internal van to deliver. At the branches the staff change the status to “Available” and process any holds etc.

 

We trust our staff of course, but the lift between the floors is a public one and then there are the various van drivers and that public journey across town.  Any tracking process I come up with is very labour intensive.  I thought of scanning the barcodes to Notepad when a batch are ready for delivery, print two copies and put one in with the batch and then have someone at each branch check the items against the list.  Several people do checking in and are inclined to take their own things up to the main library themselves.

 

Does anyone have a method that works well that you could share with me?  I’m sure this is a commonly done thing and probably should have gotten onto it a long time ago.
